Exhibition stand design Dubai: brief, build and budget

October 26, 2026 · 7 min readExhibition stand design Dubai: brief, build and budget

A stand in Dubai is decided before anyone opens a 3D file. Fix the plot size in sqm, whether you are shell scheme or space-only, the corner type, and what has to run on the floor during the show. Everything after that is a schedule hanging off those answers.

The brief comes before the render

Most first meetings go wrong in the same place. The brief is vague, so the render is generic, and the quote is a guess with a margin on top.

Start with the floor plan the organiser sent you. Plot number, stand size in sqm, and shell scheme or space-only. A shell scheme gives you walls, a fascia and carpet to dress. Space-only means the whole structure is yours to design, build and get approved.

Plot shape moves the price. An island open on four sides has to look finished from every angle and has no wall to build against. A peninsula gives you one closed back. A corner gives two.

Then the working parts. Live demos need power, floor protection and a clear sight line from the aisle. Storage needs a door that shuts, not a gap behind a graphic. Screen heights get set before the wall is drawn, because a screen at waist level is watched by nobody standing up.

Shell scheme or a custom exhibition stand in Dubai

Shell scheme wins on small budgets, simple messages and first shows. It is fast and it is honest about being a frame with your graphics on it.

A custom exhibition stand wins when the stand does the selling. If the product has to be touched, poured or switched on, a built structure with a real counter, lockable storage and a meeting corner earns its cost back in conversations.

There is a middle route worth asking about: a custom frontage built onto the organisers' frame. You get a designed face to the aisle and keep the basic walls behind it. For a first appearance at DWTC, that is usually the right spend.

Approvals are the exhibitor's, but the contractor does the paperwork

Stand approval is signed by the exhibitor and prepared by the contractor. That split trips people up. You own the deadline. Your contractor supplies the drawings, the risk assessment, the material certificates and the electrical load schedule that go with it.

The organiser's manual sets the rules: maximum build height, rigging points and who may use them, the approved electrician for anything drawing power, fire-rated requirements for timber and fabric, and the build-up and breakdown windows. Read it before the design, not after the quote.

Two things cost exhibitors real money. Booking rigging after the venue's slots are gone, and arriving at build-up with materials that are not fire-rated, which means rebuilding on the floor at premium labour rates.

A workshop in Jebel Ali is a short run from the Dubai Exhibition Centre at Expo City and a straightforward one to DWTC. Distance is not the risk. Paperwork is.

Counting backwards from show day

The order is fixed even when the dates are not.

  1. Design freeze. Everything after this is a variation.
  2. Stand approval submitted to the organiser, then the wait for the stamp.
  3. Joinery production, off site. Walls, counters, storage and plinths are cut, assembled, finished and test-fitted in the workshop before anything is loaded.
  4. Transport and install. Because the structure already fits together, floor time is measured in days, not weeks. Electrics, flooring, graphics and AV get their slots.
  5. Show days, then dismantle inside the breakdown window with the waste removed.

Ask where the stand is made. A contractor who subcontracts production cannot test-fit, cannot fix a mistake in an hour, and cannot store the result.

Materials and finishes that survive the show and the next one

MDF is stable and takes a spray finish well, which is why it suits counters and feature walls. Ply is tougher where a piece will travel and be reused. Both need the fire-rated treatment the venue asks for.

Laminate is faster, cheaper and forgiving on site. Spray finish gives a deeper surface but needs more protection during the show and more care in storage. On a stand that travels three or four times, laminate usually wins on total cost.

Build modular. A panel that bolts together, packs flat and reassembles is worth designing once. Stands built as one-off sculptures end up in a skip.

What a fair exhibition stand quote itemises

No two stands price the same. Any contractor quoting a rate per sqm before seeing the brief is guessing. What moves the number: floor area, height, plot shape, how much is custom, finishes, AV and electrics, and how much of the stand can be reused.

A fair written quote separates design and 3D visuals, production and materials, transport to the venue, install and dismantle labour, and the organiser's fees. It says plainly which are included and which are extras. In Dubai the usual extras are venue rigging, electrical connection, furniture and AV hire, overnight security, waste removal, and any change made after design freeze.

Crafty Clare prices stands as a turnkey job, design through finishing, with production in our joinery workshop in Jebel Ali. One team is accountable for the drawing, the build and the install, with no middleman adding a margin to the production. You can see the range in recent exhibition stand projects.

Questions to ask any exhibition stand design company in Dubai

  • Who builds it, and where?
  • Which approvals do you submit, and which do I sign?
  • What is excluded from this price?
  • What happens if a venue inspection fails on build-up day?
  • Can this stand be stored and reused?

If the answers are vague, keep looking.

To get a quote, send the organiser's floor plan PDF, the plot number, the stand size in sqm, your corner type, the show dates and a note on what has to demo. A WhatsApp to 0508570938 with those five things is faster than a meeting, and it gets you a stand design quote with the scope written down rather than assumed. Frequently asked questions

How much does an exhibition stand cost in Dubai?

Price is driven by floor area, stand height, plot shape, how much is custom joinery, finishes, AV and electrics, and whether the stand can be reused. Island plots cost more than corner plots because every face has to be finished. Ask for a written quote that separates design, production, transport, install and organiser fees. A rate per sqm quoted before anyone reads your brief is not a real number.

How far ahead of the show should I start?

Work backwards from the organiser's stand approval deadline, because that is the date that cannot move. Design freeze comes first, then approval, then workshop production, then the install window. Production happens off site, so the show floor phase is short. The delay that ruins shows is a late approval, not a slow carpenter.

Can I reuse my exhibition stand at the next show?

Yes, if it was designed for it. Modular wall panels, bolt-together counters and laminate finishes survive transport and storage. One-off sculptural builds usually do not. Ask at quote stage where the stand will be stored between shows and what a rebuild costs.

Is shell scheme enough, or do I need a custom build?

Shell scheme suits a small stand, one clear message and a tight budget, because you are dressing the organisers' frame. Go custom when the product needs demonstrating, when you need lockable storage and a place to sit down with a buyer, or when the stand itself is part of the pitch.

Who is responsible for stand approval at a Dubai venue?

The exhibitor signs the stand approval. The contractor prepares the drawings, risk assessment, material certificates and electrical schedule that support it. Agree in writing who submits what and by which date, because the deadline belongs to you even when the paperwork is done for you.
