Exhibition stand design Dubai: how approval and build run

October 24, 2026 · 7 min readExhibition stand design Dubai: how approval and build run

In Dubai an exhibition stand is designed, approved by the venue, then built, in that order. The venue controls the middle step, and that is where deadlines are lost. Design and joinery can run alongside the paperwork, never after it.

What exhibition stand design covers in Dubai

Design starts with the floor plan, not a mood board. Stand number, open sides, neighbouring stands, ceiling height, floor loading, power position and sightlines from the aisle decide what the stand can be. On a corner stand the counter goes on the open corner. On an island stand there are four faces and no back wall, so storage has to live inside the structure.

From there the package is concept, 3D visuals for sign-off, then joinery: counters, back walls, reception desks, lockable storage, ceiling and light coves. Add graphics, lighting, AV, flooring and furniture. Add install and breakdown. That whole list is what exhibition stand design and build in Dubai means when one company owns all of it.

The money leaks between the drawing and the workshop. When the designer and the fabricator are separate companies, the counter that looked generous in the 3D arrives narrower, because the fabricator built to his own sheet sizes. We design and build under one roof, so the person drawing the reception desk walks into the Jebel Ali workshop and cuts it.

Shell scheme vs custom exhibition stand: the decision that sets the budget

A shell scheme is the organiser's package: modular walls, a fascia with your name, carpet, usually a socket and two or three spotlights. It does not include design, custom counters, storage, extra power, graphics or furniture beyond the basic chairs.

Shell scheme is the right buy when the stand is small, the show is a test, or your product needs a quiet room more than a shape. A custom exhibition stand in Dubai is the right buy when you need lockable storage, a meeting area, heavy product on a plinth, or a silhouette that reads from twenty metres down an aisle.

Many clients land in the middle: a shell scheme shell with custom joinery inside it. The walls stay hired, and the budget goes into a counter, a display wall and lighting that make the space look like your brand rather than a booth.

Drawings, venue approval and the build-up clock

The stand contract with the organiser sits with you, the exhibitor, so approval stays your responsibility even when your builder submits on your behalf. Give your builder written authority to submit drawings, collect build-up passes and deal with the venue technical team. It saves days of email.

The submission pack usually asks for scaled plan and elevations, a rigging plan if anything hangs, electrical load, material and finish specs for fire compliance, trade licence and insurance, and the names of workers who need build-up access. DWTC, Dubai Exhibition Centre and Madinat Arena each run their own forms, and the deadline belongs to the show, not to your designer.

The sequence we run:

  1. Brief and floor plan check, with the organiser technical manual open.
  2. Concept and 3D visuals.
  3. Your sign-off, then venue submission of the approved revision.
  4. Joinery fabrication and dry assembly in our Jebel Ali workshop.
  5. Transport, build-up inside the venue window, snagging before doors.
  6. Show days, breakdown, then storage or return to the workshop.

Exhibition stand build time in Dubai is decided by two things: how much of the stand is made off site, and how long the venue gives you on the floor. A stand cut and pre-assembled in Jebel Ali arrives as numbered panels and goes up in a fraction of the time of one built from scratch in the hall. The other variable is change. A drawing change after venue approval usually means resubmission, and that is the delay nobody budgets for.

What a fair quotation itemises, and why prices swing

Most questions about exhibition stand design cost in Dubai are really questions about scope. No two stands price the same, so treat any per-square-metre figure with suspicion until you see the schedule behind it. Cost is driven by size and height, complexity of finish, whether anything is rigged, how much graphics, and how tight the deadline is. A short lead time means premium labour and express materials, and that is the biggest single swing on most jobs.

An exhibition stand price in Dubai should list the design and 3D with the number of revision rounds, the joinery schedule with board type and finish for every element, counters and storage and ceiling, lighting and power and who connects to the venue supply, flooring with platform, carpet or vinyl and edging, graphics and who installs them, AV and playback, furniture, labour for build and dismantle including overtime, freight and material handling, storage between shows, and venue charges for power, rigging, cleaning, internet, passes and waste.

The exclusion list matters as much as the price. Ask what happens if build-up runs past the window, and who pays for a reprint when a logo file arrives wrong.

The work was high quality and they workers were so efficient. They were professional. Rana Shehady, 5 stars

Our Google rating is 4.8 from 4 reviews, and the reviews talk about the same things buyers ask us about: quality and efficiency on site.

Build once, reuse twice

Design the stand for the second show while you are designing it for the first. Bolt-together frames on a standard grid, panels that stack flat, counters that knock down, graphics that clip into a channel rather than being glued. Frames and panels come off the same benches as our custom joinery and furniture built in our Jebel Ali workshop, and the crate stays there between shows. The next build starts from an approved drawing set instead of a blank page.

Reuse changes what you get for the money and it changes the risk. A stand built to be dismantled comes down in hours, not a night.

To price yours, send the organiser floor plan with your stand number and open sides, the show dates and the build-up window from the technical manual, your logo and brand file, and dimensions and weights for anything you are displaying. WhatsApp 0508570938 is the fastest route, or brief your stand with our Dubai team.

Frequently asked questions

How far in advance should we book exhibition stand design and build in Dubai?

Start before the organiser releases the technical manual where you can, and never after your graphics are signed off. Design and venue approval take the longest, and workshop slots fill as show dates approach. Booking early also leaves room to reuse an existing structure instead of building new.

Can the stand be reused at the next exhibition?

Yes, if it is designed for it. Bolt-together frames, flat-stacking panels and clip-in graphics come apart without damage, and the crate can be stored in Jebel Ali between shows. A stand built as a one-off with glued and sprayed joins is much harder to reuse.

Do you handle venue approval and drawing submission?

The drawings come from our design team, and we work through your exhibitor account to get them submitted. The stand contract sits with you, so written authority for us to submit and collect build-up passes is needed. DWTC, Dubai Exhibition Centre and Madinat Arena each have their own forms and their own deadline for the show.

Can you match our brand guidelines and existing stand kit?

Yes. Send the brand file, colour references and any panels, counters or light boxes you want to keep. We match paint and laminate against a physical sample, which is more reliable than matching to a screen colour.

Do you build the stand in your own workshop?

Yes, in Jebel Ali. Joinery is cut, assembled and dry-fitted there before it travels to the venue, so build-up on the floor is assembly rather than first-time construction. That is also where the stand returns for storage or modification.
